HR work involves complexity, discretion, legal risk, and human impact. For this reason, decisions, accountability, and service delivery must remain with people. AI is used as an enabling capability that strengthens consistency, safety, and confidence in HR practice. This is a deliberate design position, not a limitation. It reflects our belief that where HR decisions carry consequence, people must remain central.

Where and how we use AI

Guidance and workflow support

AI is used to support expert-designed HR workflows that guide practitioners step by step through complex HR processes. These workflows reflect current best practice and are designed to support safe and consistent execution. AI does not determine outcomes or make decisions. It provides guidance to help practitioners understand what good practice looks like and how to proceed responsibly.

Real-time legal and regulatory guidance

AI is used to surface relevant legal and regulatory information at the point of work. This supports practitioners to consider applicable obligations in real time as HR activities are performed. AI does not provide legal advice or replace professional judgement.
Responsibility for compliance decisions remains with the practitioner and organisation.

Document creation and automation

AI is used to generate and auto-fill documents from approved, compliant templates. Templates are designed and governed by HR professionals. AI assists with drafting and population of content to reduce administrative effort and improve consistency, while final review, approval, and use remain the responsibility of people

Culture Management

AI supports the processing and calibration of structured inputs within our culture measurement model. Sentiment data is participation-weighted and bounded. Behavioural data is headcount-normalised and scope-weighted.AI does not interpret culture, assess individuals, or generate conclusions. It supports the structured calculation of validated inputs. Interpretation and action remain with HR leaders.

Where we don’t use AI

O-HR does not use AI to make HR decisions or determinations, replace human judgement or professional accountability, or deliver HR services independently of human oversight. AI is not used to assess employee performance, behaviour, or intent, nor to make automated disciplinary, termination, or remediation decisions. It does not generate autonomous recommendations without human review. All consequential HR decisions are made and owned by people.

Data, privacy and security

O-HR is committed to protecting confidentiality, privacy, and data security.AI capabilities are designed to operate within controlled environments and are governed by appropriate access controls. Data handling practices are designed to align with applicable privacy, confidentiality, and security obligations.O-HR does not use client data to train public AI models.Our platform infrastructure is hosted in Australia. O-HR is aligned to formal governance and risk standards, including SOC 2 and ISO 42001.

Human oversight and accountability

Human oversight is maintained at all times.

Leaders and HR practitioners are responsible for interpreting guidance, making decisions, and delivering HR services. AI outputs are reviewed, validated, and applied by people who remain accountable for outcomes.

AI within the platform is configuration-controlled, non-autonomous, and bound by defined thresholds. It operates within expert-designed workflows, not independently of them.

Governance and ongoing review

O-HR is committed to transparency about how AI is used and how responsibilities are assigned.

The development of AI capabilities within Nooma is informed by a working Industry Council of experienced HR practitioners. The Council provides practitioner-led challenge and insight, tests whether AI usage reflects real HR practice, and ensures ethical and human considerations remain central.

This statement will be reviewed regularly to reflect changes in technology, regulation, and HR practice. Updates will be made deliberately and communicated clearly.
